OVERVIEW:  The Assistant Regional Director of Financial Services is responsible for
assisting with the operations of the institution’s Student Financial Services departments.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Providing Consultation on Student Financial Aid Policy and Compliance:
Consults with the regional directors and campus level financial aid directors for the Southeastern College campuses to ensure legal compliance and proper financial aid packaging of students. This includes:
o The implementation of all federal and institutional financial aid policies and procedures
o Training campus level financial aid directors and staff on policy and legal compliance
o Providing technical assistance to all campuses
o Keeping campus level financial aid staff up-to-date on policy and legal changes


Reviewing Student Financial Aid Packages:
Works with the regional directors and campus level financial aid directors and to ensure approval and processing of all student financial aid packaging. This includes:
o Overseeing the review of student financial aid packages from campuses for accuracy and compliance with federal regulations
o Examining rejected or flagged packages to determine issues and provide resolutions
o Conducing campus audits to assess compliance
o Reviewing account balances and expected cash flow
o Assisting in counseling and advising students and parents applying for financial aid on loans, grants-in-aid, or scholarships, to determine eligibility for assistance
o Troubleshooting financial aid issues

3rd party Servicer Integration and Back Office Management:
Oversee day to day institutional processes associated with 3rd party servicer(Global) and other departments (Central Processing Office/Student Financial Office)
o Ensuring timely processing and payment of approved Title IV funds by Global
o Ensuring submission of R2T4 refunds from SFO to Global for COD reporting
o Ensure that Title IV funds on disbursement check registers are posted to student ledger cards in a timely manner by SFO
o Submit all funding requests to Global to have funds deposited into the institutions operating accounts
o Facilitate resolution of any outstanding fiscal and reconciliation items with SFO/Accounting Reconciliation team
o Monitor the transfer of data between Saint Director (Global) and Campus Vue to maintain transparency between the databases and facilitate resolution for any technical issues that arise
o Coordinate training and provide support to the institutional financial aid departments for all software/database applications, and procedural/regulatory compliance changes

Reporting Functions:
o Prepare weekly debit balance reports for each campus to review and submit with action plans for high balances
o Monitor the status of repacks 30-60-90 days in advance for all campuses
o Monitor the progress of new start and re-entry appointments and file processing for current and future class start dates.
o Track the total amount of Title- IV funds collected by the institution monthly and year to date
o Facilitate bi-weekly meeting with senior management to review all report data, identify opportunities for improvement at the campus level and executive office, and outline action items needed to achieve the desired outcome.

• Facilitate bi-weekly conference call with the institutions 3rd party servicer (Global), Regional Student Finance Directors and all campus Student Finance Directors. This meeting is scheduled to review various productivity metric reports on all files submitted to Global for processing, software updates, regulatory compliance updates& announcements from the DOE and any potential changes to process procedure, and any related questions/concerns.
• Work with other institutional departments and 3rd party entities on projects/tasks pertaining to the institutions.

Scholarship Process:
• Management of Institution wide scholarship approval process. This includes but is not limited to the receipt of all campus scholarship requests, review, approval and or rejection of all requests.

EDUCATION, EXPERIENCE, and TRAINING:

• Bachelor's degree (B.A.) or equivalent; and three to five years related experience and/ or training; or equivalent combination of education and experience.
