SUMMARY:  Carter Creek Winery Resort and Spa is looking for a Sales and Event Coordinator to support the sales team assisting with booking, selling, planning and coordinating Sales events as well as booking, planning, coordinating and hosting Resort events.

DUTIES: The following reflects management’s definition of essential functions for this job but does not restrict the tasks that may be assigned.  Management may assign or reassign duties and responsibilities to this job at any time due to reasonable accommodation or other reasons. 
  • Support sales team assisting with booking, selling, planning, and coordinating events. 
  • Support revenue generation by assisting with new accounts, monitoring booking space, fostering repeat business, performing sales presentations and caterings sales visits/calls.
  • Support sales team with detailing groups & events after contract. 
  • Accurately complete BEO's on a daily basis using the correct office procedures and ensure all details are tracked and recorded in sales software and property management system as needed. 
  • Assist in the preparation of items for events such as rooming lists, amenities, cover sheets, and welcome notes.
  • Attend Banquet & Catering and Resort events and assist as needed in operations and hosting. 
  • Coordinate scheduling of entertainment and vendor contracts for Resort events. 
  • Work with all departments to coordinate any special needs/request of clients including site inspections.
  • Confer with guests and hotel department heads to plan function details such as space requirements, event location, and times of event(s). 
  • Coordinate client rental orders and vendors as needed.
  • Coordinate Sales Department and other in-house events.
JOB KNOWLEDGE
  • High School Diploma and 2-4 years of related experience or equivalent. 
  • Knowledge of core computer programs and aptitude for working with new systems and software, such as Delphi/Salesforce. 
  • Aptitude for customer solutions and customer service.
WORKING CONDITIONS: Works inside and outside across various elevation changes, while touring and event services with indoor & outdoor event spaces. Bi-level structures. Extensive facility. Well-lit room. Minimal exposure to hazardous substances and fumes. Possible exposure to blood-borne pathogens.  

PHYSICAL/MENTAL DEMANDS: Calculate figures and amounts.  Coordinate multiple tasks simultaneously. Collect, interpret, and/or analyze complex data and information. Understand and respond to a diverse population. Ability to lift, push, & carry up to 50 lbs. as required and needed for up to 8 hours. Requires physical dexterity when setting or breaking down events.

SCHEDULE:

  • Typically Monday through Friday 9am-5pm, with some weekends and holidays.
