The Strategic Partnership Division is defined as being the department that handles all assigned jobs from start to completion that involve commercial or strategic partnerships. The primary focus will be on building upon current partnerships, developing new partnerships, and increasing the value-sized commercial partnerships. The Strategic Partnership Division will be vertically integrated, where resources are specifically allocated to ensure project delivery on budget within a pre-established life cycle. 
 
This department relies on a superior level of service, delivered by working closely with quality assurance and operations to support and ensure our office can meet the commitments and expectations established with our partners, stakeholders, and customers.
Strategic Partnerships will both extend and create business opportunities, developing and implementing plans that will enable Paul Davis Ottawa to build upon its current Commercial business. Strategic Partnerships will also be responsible for evolving and deepening the collaborative process and the critical relationship between the Paul Davis Ottawa culture and its customers.
 
Business Development
·         Deepen and increase the scope of our business within the Commercial sector, especially through the establishment of strategic relationships with, for example, brokers and facility managers.
·         Monitor ongoing commercial jobs for quality and liaise with decision-makers on that file as needed.
·         Champion and assist on problem files that may affect client/company relationships.
·         Analyze, diffuse, and solve problematic situations.
·         Commercial governance, bidding, contract management, and project delivery.
·         Organize, set priorities, and handle multiple complex tasks at one time consistent with corporate processes.
·         Present information at both detail and summary levels, interacting daily with executive management and operational-level staff.
·         Identify and analyze potential commercial risks and liabilities associated with proposals, ongoing projects, and supplier agreements.
·         Commercial support in contract administration and in the preparation of narratives and entitlement documentation and the resolution of claims.
 
Project Management
·         Receive and accept new job requests on behalf of the company.
·         Attend the site as initial representative of the company and document loss and/or damage with photos.
·         Complete scope to confirm what is needed to mitigate the loss, and what is needed to return to pre-loss condition.
·         Complete the scope of all damages and re-attend to update when necessary. 
·         Provide preliminary work orders to vendors, subcontractors, and field staff.
·         Provide all necessary documentation to 3rd parties, such as 12-hour reports, photographs, moisture readings, and any others as required.
·         Ensure appropriate samples are taken as needed. 
·         Gather and provide all necessary sub-trade quotes/documentation to necessary parties to provide costing and claim support.
·         Schedule and attend site meetings with all relevant parties to discuss claim and process.
·         Discuss and explain the scope to all necessary parties.
·         Take post-demo photos, finalize the scope of the emergency and prepare the rebuild scope.
·         Ensure all legal documents and agreements are signed before moving forward.
·         Continue communication daily with all necessary parties promptly.
·         Once the estimate is completed, review costing and send to the appropriate parties.
·         Create work order budgets for repair work to proceed.
·         Ensure all Job Management Systems (RMS, Symbility, XA) are updated in ‘real-time’ as the work happens.
·         Provide a job production folder to the production team.
·         Collect deposits and Accounts Receivable collection as needed.
·         Assist on the collection of Completion Certificate.
·         Invoice Job.
·         Review all job costing to ensure margins are correct.
·         Escalate issues as needed.
·         Practice urgency by responding to all phone/email/online requests within 2 hours.  
·         Ensure each project achieves a minimum gross profit margin as determined by company standards. 

Estimating 
·         Review the scope of work, job reports, and pictures. 
·         Creates an accurate and profitable estimate. 
·         Requests DocuSketch and Beacons where required. 
·         Review datasets and request additions where required. 
·         Determine any missing required information to create the estimate. 
·         Address all review notes and defend the estimate. 
·         Create a production package for all sold work. 
·         Takes ownership of estimate revisions, supplements, customer credits & cashouts. 
·         Owns the chasing of all uploads and approval for all estimates.  
·         Address reinspections.  
·         Estimate each loss using a 3rd party estimating software, Xactimate /Symbility (as required). 
·         Communicate and document any change orders and insurance supplements. 
 
Production 
·         Schedule trades for all non-inhouse vendors
·         Monitor quality control through Field Supervisor/Foremen on all projects.
·         Meet operational objectives of Cost Controls and schedules.
·         Conduct pre-construction meetings at the beginning of each job.
·         Be responsible for the overall budget expectations on all jobs, aggressively striving for the desired %. 
·         Handle project changes and divert information to the relevant people.  
·         Confirm budget, purchase orders, and work orders before the start of the project.
·         Build upon relationships with current vendors, and trade professionals to establish reliable partnerships to be utilized in future jobs.
·         Create and utilize GANTT charts to track job progress on all jobs. 
·         Support and assist the business in emergencies where required.  
Compensation: $70,000.00 - $85,000.00 per year
