We are seeking a detail-oriented and organized Job File Coordinator to join our team. In this role, you will be responsible for the accurate and timely management of job files, ensuring they are properly documented and tracked throughout the project lifecycle. The ideal candidate will have strong organizational skills, excellent communication abilities, and the capability to handle multiple tasks simultaneously.

Key Responsibilities:

File Management: Create, organize, and maintain job files from start to completion, ensuring all necessary documentation is included and up to date. 
Date Entry: Accurately enter job information into the company's project management platform and maintain data integrity throughout the process.
Coordination: Collaborate with various departments including project managers, finance, and operations to gather and ensure timely receipt of necessary job documents. 
Compliance: Ensure that all job files comply with company policies and any applicable regulations or legal requirements.
Communication: Serve as a point of contact for internal teams and external clients, responding to job-related inquiries and providing status updates.
Documentation: Review job files for accuracy and completeness, including contracts, permits, schedules, and other project-related documents.
Archiving: Properly archive completed job files, both digitally and physically, ensuring they are readily accessible for future reference. 
Reporting: Generate regular reports on job file status, and provide updates to project managers and department heads. 

Position Requirements
  • High school diploma/GED (preferred)
  • At least 1 year of customer service and/or office-related experience 
  • Ability to multitask and to remain detail orientated
  • Must be knowledgeable in relevant computer applications
Skills:
* Strong organizational skills with the ability to manage multiple tasks and priorities.
* Excellent written and verbal communication skills
* High attention to detail and accuracy in record-keeping.
* Familiarity with project management software (Preferred but not required)

* Ability to work independently and as part of a team
* Strong problem-solving skills and a proactive approach 
* Ability to maintain confidentiality with sensitive information

Essential skills

Importance of phone communication: instant clarity and resolution, personal touch, efficiency, handling sensitive situations, accessibility and adaptability
Team collaboration, or coordination with external partners, strong phone communication skills are not only desirable but essential for success. 
Compensation: $17.00 - $19.00 per hour
