Temporary Administrative Support Analyst IV
We are seeking a highly skilled Temporary Administrative Support Analyst IV to provide executive-level administrative support and office management to our Executive and Senior Management Team. This position requires a strong ability to handle multiple priorities, ensure timely task completion, and produce high-quality deliverables in a fast-paced environment.
Qualifications:
Education & Experience Requirements:
- Minimum Education: A Bachelor's degree in Business or a related field.
- Substitution: Instead of a degree, 10 years of progressive executive-level experience is required.
- Experience: A minimum of 5 years of professional administrative experience is required, with at least 5 years in executive administration.
Technical Proficiency:
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong working knowledge of office productivity tools and databases.
Core Competencies:
- Exceptional written and verbal communication skills.
- Strong organizational abilities with attention to detail and accuracy.
- Proven ability to design, prepare, and deliver professional presentations, reports, and briefings.
Key Responsibilities:
Administrative Support & Office Management
- Provide day-to-day operational and program management support for executives and directors.
- Develop and manage correspondence, reports, and documents in compliance with the client's branding and writing standards.
- Maintain office records and files, both electronically and as hard copies.
Executive Communications
- Design and prepare customized briefings, special presentations, and multimedia materials.
- Prepare weekly Executive Schedule Binders and other briefing materials.
Meeting Coordination
- Arrange and coordinate meetings, conferences, and travel.
- Record and distribute detailed meeting minutes, including attendees, decisions, action items, and follow-ups.
Visitor and Reception Services
- Perform front desk reception duties, including greeting and escorting visitors.
- Coordinate visitor processes, including documentation and meeting logistics.
Travel Management
- Prepare and process travel authorizations and vouchers in line with the client’s travel policies.
- Monitor and track travel submissions through the current travel management system.
Data and Records Management
- Validate and update employee information in various databases and tracking systems, such as MS Access, SharePoint, and EDMS.
- Manage executive schedules using Microsoft Outlook, ensuring accuracy and timely updates.
