Overview:
We are currently seeking an experienced and detail-oriented Accounting Specialist to join our team at Armstrong Air & Electric. As an integral member of our controlling department, you will be responsible for managing the accounts payable process to Subcontractors, ensuring accurate and timely processing of invoices, payments and reports. This position also serves as a backup for AP Specialist. Your expertise in accounts payable procedures, attention to detail, and commitment to maintaining financial accuracy will contribute to the smooth operation of our business.
Responsibilities:
- Asist all the process documentation to new contract with Subcontracts.
- Process payment to Subcontractors according to advance of each project: invoices accurately and efficiently, verifying coding, projects, approvals, and supporting documentation.
- Track and document approvals to process changes order during the review process. Follow up on any outstanding approvals or questions from upper management to ensure timely processing of payments.
- Review and reconcile accounts payable related to subcontractors.
- Resolve, track and update any discrepancies or issues and coordinate with department heads and subcontractors to address any discrepancies or issues prior to submission for approval.
- Maintain subcontracting documentation, including request for proposal, purchase orders and change orders.
- Assist to AP Specialist posting invoices, reconcile statements, create vendor accounts, updating vendor information, responding to inquiries, and resolving payment issues in a timely manner.
- Support month-end close process by reconciling payables accounts and providing accruals as needed.
- Participate in process improvement initiatives to enhance efficiency and effectiveness of accounts payable processes.
- Provide support and training to other Department’s team members as needed.
- Perform other duties and special projects as assigned by management.
Qualifications:
- Bachelor’s degree in accounting, Finance, and a minimum of five years of related experience, or an equivalent combination of education and experience.
- Experience in the HVAC conditioning or Construction sector.
- Solid principles, procedures, and best practices in accounting.
- Proficiency in QuickBooks online, Google Sheets, Excel (advance level) and Microsoft Office Suite.
- Excellent attention to detail and accuracy, with strong analytical and problem-solving skills.
- Ability to prioritize tasks and manage deadlines in a fast-paced environment.
- Strong communication and interpersonal skills, with the ability to interact effectively with vendors, colleagues, and management.
- Ability to work independently and collaboratively within a team.
- High level of integrity and professionalism, with a commitment to maintaining confidentiality.
