Our Human Resources Department located at our head office in Richmond, BC currently has an opportunity for:

Human Resources Administrative Assistant (Full-time)

The HR Administrative Assistant position is responsible for the active support of key HR initiatives, tasks, assignments and projects. 

This position performs highly confidential administrative duties for the General Manager, Human Resources and the HR Management as a whole.  This successful candidate must be highly organized, possess strong writing skills as well as a high attention to detail.  In addition, the HR Administrative Assistant must have proven critical thinking skills and operate with a high degree of confidentiality and professionalism.

The successful incumbent should have a passion for supporting initiatives that contribute to making London Drugs a great place to work.  Some examples include the annual Career Achievement banquet, the Take our Kids to Work program, and corporate townhall events. 

Additional Roles and responsibilities:
  • Respond to inquiries or requests related to HR, including HR Policies & Procedures.
  • Keep, record and maintain contracts.
  • Responsible for maintaining and updating letter of offer templates, job descriptions and organizational charts.
  • Run and distribute various monthly reports.
  • Record and maintain information regarding critical events.
  • Head Office Records Administration: administer employment records such as processing employee hires, terminations, leaves of absence, transfers, status changes, salary administration, and vacation requests.
  • Prepare letters, file disclosure requests, confidential filing, etc.
  • Part-time Disability Management Administration: process and manage all matters relating to part-time non-work related, compassionate and family care, maternity/parental leaves of absences.
  • Vacation coverage for Executive Assistant to the COO as required.
  • Manage incoming calls, prioritizing appointments and proactively resolving scheduling conflicts.
  • Prepare or edit letters, memos, and mass emails. 
The successful candidate should possess the following:

  • Demonstrates excellent interpersonal communication skills 
  • Excellent written communication skills for companywide communications, writing letters etc. 
  • Highly organized and able to multitask effectively and work under changing priorities. 
  • Strong critical thinking skills with the ability to isolate and solve problems.
  • Ability to work in absolute confidence, handling confidential/sensitive information in a mature and responsible manner.
  • Strong listening and empathy skills (compassionate, patient, willing to help). 
  • Ability to make decisions and exercise good judgment.
  • Ability to work independently. 
  • Good technical abilities. 
Education and Knowledge:
  • Experienced in providing administrative support to senior management of a company.
  • Ideally has experience (work/academic) in the Human Resources field.
  • Some formal written communication experience/training. 
  • Excellent Microsoft Word skills.
  • Should have familiarity with Excel.
