POSITION HIGHLIGHTS
The Director of Operations and Special Projects will be responsible for managing the day-to-day operations necessary to ensure that the organization achieves its objectives. The Director will lead the development and implementation of special projects. The Director of Operations will report to Chief Operating Officer.
Ability to travel as needed, up to 20%, this position will be required to travel with advanced notice
Public Service Loan Forgiveness
KEY RESPONSIBILITIES
• Develop, implement, and monitor day-to-day operational systems and processes to provide visibility into the goals, progress, and obstacles of key initiatives
• Devise strategies and implement process improvements to maximize output and minimize costs
• Manage and maintain agency strategic plan goal collection and aggregation for the agency dashboard
• Oversee and manage the HR Department and other assigned administrative staff and vendors (i.e. HR Manager, Staff Accountant, Alliant, Howard Simon, Jun Cyber)
• Draw on relationships with department heads, external partners, and vendors to make decisions and collect data regarding operational activity and strategic goals
• Plan, monitor, and analyze key metrics for day-to-day operations to ensure efficient and timely completion of tasks
• Develop, maintain, and update agency Standard Operating Procedures
• Adhere to the company’s policies and standards, and ensure that HACE is in compliance with laws and regulations
• Work closely with Human Resources to lead the team with integrity and to establish and maintain a trusting, inclusive, and productive environment
• Lead the logistics and launch of the annual summit and gala event
• Lead the logistics and launch agency-wide events (i.e. HHM, other projects)
• Lead the logistics and planning of the annual Strategy Planning Meetings and annual staff retreat
• Manage procurement processes and coordinate material and resources allocation
• Oversee customer support processes and organize them to enhance customer satisfaction
• Review financial information and adjust operational budgets to promote profitability
• Oversight and management of the HACE Merchandise store, website, and technology platforms
RISK MANAGEMENT
• Serve as primary liaison to legal counsel in addressing legal issues e.g. copyright, antitrust, governing instruments, partnerships, licensing etc.
• Oversee the renewal, negotiation, and implementation of organizational insurance policies, annual subscriptions and certifications.
OFFICE SUPPORT
• General office duties, including clerical support, control of general phone inquiries, office mail pick-up, check deposits, research, and administrative assistance
• Oversee and manage HACE office account and organization
• Oversee and manage computer inventory and staff equipment assignments
• Oversee and manage the organization of the Human Resource Department
• Oversee and manage HACE products inventory
• Assist in data collection, data entry, outreach and management
• Schedule and manage logistics for Staff Travel for Senior Leadership
• Other administrative duties as requested by leadership
REQUIRED SKILLS AND QUALIFICATIONS
• Bachelor’s degree (or equivalent) in business administration or related field
• 5+ or more years in a leadership role in a field related to HACE’s industry
• 3+ years of experience in logistics and operations
• Masterful organizational, communication, and leadership skills, backed by previous professional success
• Superior knowledge of multiple operational functions and principles, including finance, customer service, production, and employee management
• Strong analytical skills, strong work ethics, and basic business intuition
• Proven ability in handling multiple tasks in a fast-paced environment, comfortable with minimal direction, proactive spirit, and strong ability to adapt.
• Proven ability to plan and manage operational processes for maximum efficiency and productivity
• Ability to streamline or implement structures and roles that boost speed and efficiency while supporting rapidly shifting business demands
• Strong working knowledge of industry regulations and legal guidelines
• Demonstrated ability to develop and manage interpersonal relationships at all levels of the company
• Passionate about empowering Latino community, and creating more inclusive, diverse organizations
• Demonstrated strong leadership skills and ability to successfully manage different, multiple bodies of work
• Experience in managing budgets and business plans
• Superior negotiation skills for both internal and external purposes
• Strong working knowledge of data analysis and performance metrics, using business management software (ex: SAP, ERP, CRM)
• Familiarity and comfortability working in different technology and CRM platforms such as Hubspot, Monday.com, and Microsoft.
• Position based remotely but may require domestic travel, 15-30%, flexibility to attend early morning, evening, and/or weekend events.
