We are seeking a highly organized and proactive Executive Assistant to support our CEO in driving our vision forward.

Job Overview

The Executive Assistant will play a crucial role in providing high-level administrative support to the CEO, ensuring the smooth operation of daily activities, managing schedules, handling confidential information, and acting as a liaison between the CEO and internal/external staff and customers. The ideal candidate is highly organized, detail-oriented, and capable of multitasking in a fast-paced environment. This position will be part-time, averaging 15-20 hours a week.

Key Responsibilities

  • Strong background in Quickbooks, Notion, Excel, Canva, and AI agents.

  • Manage the CEO’s calendar, including scheduling meetings, appointments, and travel to different locations within Pennsylvania.

  • Serve as a key point of contact between the CEO and internal/external staff and customers.

  • Prepare reports, presentations, correspondence, and other critical documents.

  • Handle confidential information with the utmost professionalism and discretion.

  • Oversee meeting preparations, including agendas, materials, and minutes.

  • Assist with project coordination, research, and data analysis to support decision-making.

  • Manage email correspondence and prioritize messages requiring attention.

  • Coordinate logistics for corporate events and executive engagements.

  • Support CEO in day-to-day operational tasks and special projects.

  • Perform other administrative duties as assigned.

Qualifications & Skills

  • Bachelor’s degree in Business Administration, Communications, or a related field preferred.

  • 3+ years of experience as an Executive Assistant or similar administrative role.

  • Exceptional organizational and time-management skills.

  • Strong written and verbal communication abilities.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools.

  • Ability to work independently, exercise sound judgment, and maintain confidentiality.

  • High level of professionalism and adaptability in a dynamic work environment.

  • Strong problem-solving skills and attention to detail.

  • Experience in a fast-paced corporate or startup environment is a plus.
