Role: Administrative Assistant
PURPOSE: Work and execute all aspects of front office operations, offer consistent and friendly internal/external customer service in accordance with company goals and guidelines, and provide administrative support to all areas of the business.

SAFETY: All employees are required to conduct themselves in a safe manner at all times to ensure their safety, as well as that of customers and the crew, as set forth in the Safety Manual and Safety trainings. All employees must have a clear understanding of jobsite safety. Everyone is responsible for safety!
Administrative Assistant Capabilities:
- Arrive on time and ready to work
- Working knowledge of office technology- computers, MS Office, Teams
- Knowledge or ability to learn accounting systems- QuickBooks online experience is a plus
- Ability and willingness to learn new systems as the company grows
- Ability to learn and accept feedback, positive and corrective
- Pleasant and courteous on the phone
- Be organized. Have good communication skills.
- Willingness to assist where needed (work outside description. Example - assist with inventory counting, updating sales, following up with estimates, etc.)
Administrative Assistant General Responsibilities:
- Filing, copying, faxing, correspondence, order supplies, etc.
- Assist colleagues: office staff, field staff, sales staff, and management.
- Answer phones, distribute messages, and follow up on phone messages. Represent our company in a professional manner, most likely being the first person the customer comes in contact with. Answer any questions, paving the way for the estimator.
- Respond to all customer emails/voicemails in a timely manner
- Assist sales staff with weekly reporting
- Review and process payroll
- Create and send Invoices after job completion
- Follow up on work completed to confirm no concerns or questions from the customer.
- Update and maintain customer database.
- Process payments and make deposits.
- Update finances in QuickBooks daily.
- Type proposals and job scopes on occasion.
- Help prepare the annual budget.
- Marketing: Research campaigns, send out email marketing via Mailchimp, find new marketing avenues, and be willing to attend and coordinate company participation in local fairs/home shows/events, etc.
