The Arts & Learning Conservatory (ALC) is a highly awarded, leading after-school arts provider in Orange County. Since 2004, ALC has reached over 30,000 children across Southern California through music, theatre, and technical arts programs. POSITION OVERVIEW
The Administrative Assistant provides critical support to the Chief of Staff and the ALC team, handling administrative, communications, and event-related tasks. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Responsibilities include office coordination, social media content posting, event assistance, and general administrative duties. The position also requires frequent travel between ALC locations, vendors, and event sites to support operational needs.
KEY RESPONSIBILITIES
• Manage scheduling, phone coverage, and email correspondence on behalf of the Chief of Staff and team members.
• Maintain and update organizational databases, contact lists, and filing systems.
• Prepare meeting agendas, take detailed notes, and distribute follow-up documentation.
• Communicate professionally with C-suite executives, board members, and external stakeholders.
• Create and post content for ALC’s social media platforms, ensuring brand consistency.
• Coordinate and support ALC Signature Events, including logistics, vendor coordination, setup, and breakdown.
• Travel between ALC sites, vendors, and event locations to perform deliveries, pickups, and other operational tasks.
• Assist with the production of marketing and promotional materials.
• Monitor and maintain office supplies, manage print and copy requests, and handle mail distribution.
• Greeting and assist visitors, ensuring a professional and welcoming environment.
• Provide administrative support for special projects and other duties as assigned to support the organization’s mission.
QUALIFICATIONS
Minimum Requirements:
• Previous administrative or clerical experience in an office or nonprofit setting.
• Strong written and verbal communication skills, including professional phone etiquette.
• Proficiency with Microsoft Office Suite and Google Workspace.
• Experience with social media platforms (Facebook, Instagram, LinkedIn) and content creation tools (e.g., Canva).
• Strong organizational skills with the ability to prioritize and manage multiple tasks.
• Valid driver’s license, reliable transportation, and ability to travel regularly for work assignments.
• Flexibility to work occasional evenings and weekends.
Preferred Qualifications:
• Experience in marketing, communications, or event coordination.
• Previous work in performing arts, education, or nonprofit environments.
• Knowledge of basic graphic design or video editing.

OneOC was founded originally in 1958 as Newport Bureau of Volunteerism, the very first community service project of the Junior League of Orange County. Newport Bureau of Volunteerism then became the Volunteer Center Orange County.
