As a Promotional Order Logistics Coordinator, you are the bridge between a client’s vision and the physical product in their hands. You will manage the full lifecycle of promotional collateral from initial consultation and creative mock-ups to vendor sourcing, quality control, and final distribution. This role requires a unique blend of creative eye, meticulous project management, and "get-it-done" logistics grit.
Key Responsibilities
Client Consultation & Account Management

Act as the primary point of contact for all incoming promotional material requests (e.g., apparel, drinkware, tech gadgets, and custom builds).

Consult with clients to understand their brand guidelines, event timelines, and budget constraints.

Provide expert recommendations on product trends, material durability, and printing methods (screen printing, embroidery, sublimation, etc.).
Sourcing & Vendor Relations

Navigate our network of partnered vendors to find the highest quality products at the most competitive price points.

Negotiate lead times and pricing to ensure projects remain profitable and meet strict deadlines.

Stay updated on industry trends to offer "outside-the-box" custom promo items that set our clients apart.
Design Mock-ups & Quoting

Develop digital mock-ups (using internal tools such as Canva, Adobe Photoshop, Pacdora) to show clients how their logo/artwork will appear on the selected merchandise.

Draft comprehensive quotes, ensuring all costs, including setup fees, shipping, and rush charges are clearly communicated and approved.

Manage proofing cycles, obtaining final client sign-offs before moving to production.
Quality Assurance & Logistics

Oversee the production pipeline, tracking orders to ensure vendors stay on schedule.

Perform Quality Assurance (QA) checks on physical samples or incoming shipments to ensure color accuracy and print integrity.

Coordinate shipping logistics, including domestic and international freight, white-glove delivery, or multi-location dropshipping.
Inventory & Warehouse Management

Manage onsite inventory for recurring items (like uniforms or standard swag) to ensure stock levels never hit zero.

Organize storage solutions for client-specific materials, ensuring items are labeled and easy to retrieve for sudden requests.
