CMMS Administration Production Control
Position Summary
The CMMS Administrator reports to the Project Manager and is responsible for compiling, analyzing, and maintaining production and facilities maintenance data to support operational efficiency, quality control, and resource management. This role collects data from work orders, production sheets, specifications, and time records; calculates production metrics, material usage, defects, and labor rates; and prepares reports, schedules, inventory records, and required documentation. The position supports scheduling, work ticket distribution, inventory requisitions, payroll data inputs, and provides status reporting, process controls, and completion forecasts for contract operations.

- Compiles and records data to compare records and reports on all aspects of facility maintenance.
- Compile and record production data from customer orders and work tickets.
- Additional tasks may include writing production reports based on data compiled and maintaining files of documents used and prepared, compiling detailed action sheets or work tickets for use by workers as guides in daily maintenance activities.
- Assist with preparing written schedules by generating preventive maintenance work orders, and sorts/distributes work tickets as required.
- Coordinate the work management process for assigned sites, including work reception, prioritization, planning, coordination, scheduling, assignment, tracking, completion, data entry and other administrative actions.
- Assist with planning, scheduling and coordinating corrective and preventive maintenance actions.
- Ensure that the Computerized Maintenance Management System (CMMS) data files are complete, accurate and current.
- Acts as the primary user of the CMMS.
- Perform quality control checks, maintain, and file completed work orders.
- May assist with purchasing and inventory functions, as needed.
- May assist with daily office functions such as Purchase Orders, Task Orders, Invoicing/Billing
- Backfill Service Center coverage may be necessary when other staff is on leave/sick.
- Perform Administrative Assistant Duties as assigned.
Qualifications:
- 5+ years CMMS administrative
- Maximo/Archibus/eBuilder certification
- Must have 2 years of experience performing similar duties, preferably on a federal facilities maintenance contract or a comparable platform
- Must be proficient in MS Project and MS Excel
- Tier 2 QC; 07:00-08:15 ECR drafting.
- 2-workday PM close-out; same-next-day CMMS documentation discipline
Minimum Requirements
- High school graduate or equivalent.
- A minimum of three (3) years of production/planning data accumulation and reporting, either in the military services or in commercial applications is required.
- Background in Intuit QuickBooks is a must.
- Knowledge of governing programs, policies, nomenclature, work methods, manuals, or established guidelines. Analytical ability to define problems, collect necessary data and establish facts and to take or recommend action based upon applicable established guidelines.
FLSA Classification:
This position is exempt under the FLSA and not eligible for overtime pay.
