Office Assistant / Caregiver

We’re looking for a detail-oriented, organized, and professional Office Assistant / Caregiver to support our growing home care agency. This position plays a dual role: supporting our daily office operations while also being trained and certified to step into the field to provide hands-on care to our clients when urgent needs arise.
This is a highly dynamic, active role. While primarily based in the office, you must be ready to step away from your desk at a moment's notice to cover caregiving shifts in the field. We will provide the training and help you obtain your caregiver certification!

Unique Role Dynamics

Dual Office & Field Role: This is not a strictly stationary desk job. During business hours, you must be ready and able to "drop what you are doing," head out into the field, and step in as a caregiver to cover urgent call-ins, client emergencies, or open shifts.

Rotational Administrative On-Call: To support our clients and caregivers, our office team rotates administrative on-call duties weekly (including evenings and weekends) to manage urgent scheduling and after-hours inquiries.
Major Duties
As an Office Assistant / Caregiver, you will:
Provide hands-on caregiving support in the field during business hours to cover emergency call-ins or open shifts.
- Answer business phone calls professionally, route calls to the appropriate person, and take messages as needed.
- Assist with the caregiver hiring process by recruiting qualified applicants, conducting initial phone interviews, documenting hiring progress, checking references, and scheduling orientations.
- Monitor hiring and recruiting groups daily for new applicants and caregiver documentation.
- Upload caregiver compliance documents into AxisCare and ensure all required paperwork remains current and complete.
- Schedule caregiver orientations after all hiring requirements have been met.
- Assist with caregiver scheduling and client assignments.
- Track caregiver time and attendance.
- Create, organize, and prepare office materials, including:
- Caregiver orientation packets
- Employee name badges
- Client consultation packets
- Facility goodie bags
- Utilize recruiting spreadsheets and shared hiring documents to track applicant progress.
- Assist the Office Manager with administrative tasks, communication, and documentation as needed.
Qualifications
We’re looking for someone who is:

Willing and able to obtain a caregiver certification (with training provided by us) and provide hands-on client care.

Highly adaptable and flexible (able to quickly pivot from administrative desk work to field caregiving at a moment's notice).

Willing and able to participate in our weekly rotating administrative on-call schedule.
- Organized and detail-oriented.
- Professional with excellent phone etiquette.
- Comfortable using computers and office software.
- Able to multitask in a fast-paced environment.
- Dependable and able to work independently.
- A strong communicator with excellent customer service skills.
- Willing to learn new software, including AxisCare, Career Plug.
Preferred Qualifications

Previous administrative, office, or scheduling experience.
- Prior experience as a caregiver, CNA, or PCA.
- Experience with recruiting or human resources.
