Position Summary
The Marketing Project Coordinator is the operational anchor of the marketing department — the person who keeps work moving, vendors managed, and deadlines met, and who serves as the single front door between the sales organization and marketing. This role turns a reactive, ad hoc workflow into a managed service: disciplined project traffic, a clear intake for sales requests across every office, and consistent, on-brand execution. It is a hands-on, in-the-weeds seat for someone who is energized by doing the work and making a busy team run smoothly.

Key Responsibilities

  • Project & traffic management — run intake, scheduling, and deadlines; route work across creative, digital, and print; keep projects moving and maintain clear status tracking so nothing falls through the cracks.
  • Sales enablement & liaison — serve as the single intake point and liaison for sales requests across all offices (decks, prospectus and proposal materials, event invitations, collateral); prioritize and traffic requests to the team; and enable sales reps on how and when to engage marketing and who to route through.
  • Brand & asset governance — uphold brand guidelines across all outputs, keep field- and sales-created materials on brand, and organize and maintain the shared asset library.
  • Vendor & production management — manage printers, agencies, and freelancers; coordinate print production; source and purchase promotional items; and track budgets, purchase orders, and invoices.
  • Reporting & coordination — maintain status and pipeline tracking, support campaign and marketing reporting, coordinate with the digital contractor on the website project timeline, and support event and trade-show logistics as needed.
Qualifications

Required:
  • Bachelor's Degree in Marketing, Communications, or related discipline - or equivalent experience
  • 3-5 years experience in a marketing coordinator, project/traffic, or marketing operations role
  • Proven project and traffic management with strong deadline discipline 
  • Vendor, printer, and agency coordination; budget, PO, and invoice tracking 
  • Excellent organization, written communication, and cross-functional coordination 
  • Comfortable as a hands-on doer — this is an execution seat, not a directing one 
  • Valid driver’s license and clean driving record
Preferred:
  • Construction, restoration, or B2B/commercial-services industry experience 
  • Experience as a liaison to a sales team, or in sales enablement 
  • Design/production capability (Adobe Creative Suite) 
  • Familiarity with project/traffic tools (e.g., Asana, Monday.com) 
Compensation: $65,000.00 - $75,000.00 per year
