Bannockburn, IL | $20–$23/hour | Part-Time

We're looking for someone who takes ownership, not just direction.

Are you the person who naturally sees what needs to be done and takes care of it?

Do you enjoy solving problems, improving systems, and finding ways to make a business run better?

Are you exceptionally organized, technologically savvy, and able to manage multiple responsibilities without letting things fall through the cracks?

Are you confident enough to handle difficult conversations, uphold policies, and make decisions independently?

Have you owned a business, managed a team, or worked in an environment where accountability, resourcefulness, and excellence were expected?

If these questions sound like you, we'd love to meet you.

About Herb + Ōhm

We're opening our newest luxury acupuncture and integrative medicine clinic in Bannockburn, where we combine Traditional Chinese Medicine with modern healing technologies to help patients achieve meaningful, lasting improvements in their health.

We're building a small, close-knit, exceptionally high-performing team. We value independent thinkers who care about patients, take pride in their work, and genuinely want to help the practice succeed.

What makes you a great fit?

  • You think like an owner. You take responsibility, anticipate needs, and follow through without constant direction.

  • You're an innovator. You enjoy finding better ways of doing things and aren't afraid to suggest improvements.

  • You're exceptionally organized. You can manage multiple systems, messages, schedules, and competing priorities.

  • You're confident and professional. You communicate directly, resolve difficult issues, and uphold policies with compassion and conviction.

  • You're dependable. You ensure patient needs, leads, and outstanding responsibilities receive appropriate follow-through.

  • You're a team player. You help wherever you're needed and genuinely care about your coworkers' success.

  • You're motivated by purpose. You want to be part of a practice helping people improve their health naturally.

We're especially interested in candidates with previous business ownership, management, or demanding professional experience. We value the judgment, initiative, and sense of responsibility those experiences can develop.

What you'll do

You'll manage patient communications, scheduling, leads, follow-up, payments, memberships, and administrative operations while creating an exceptional patient experience.

You'll work across digital systems, proactively resolve problems, suggest process improvements, and help ensure the practice operates efficiently.

Both coordinators are cross-trained, so you'll also support patient-care operations when needed.

Schedule & compensation

$20–$23/hour, based on experience.

  • Tuesday and Thursday: 9 AM–6 PM (one-hour lunch)

  • Friday: 9 AM–4 PM

  • Monday: One-hour paid team meeting

  • Monday, Wednesday, Saturday, Sunday: Additional scheduled, paid remote patient communication coverage

Approximately 24 scheduled hours per week initially, plus compensated remote coverage. The practice will expand to four clinic days (approximately 32 hours), although the timing is not yet established.

You must be comfortable with the initial part-time schedule and available for future expansion.

Does this sound like you?

We'd love to learn what makes you exceptional at your work.

Please submit your résumé and answer:

1. Tell us about a time you saw something that needed improvement and took initiative without being asked. What did you do?

2. Describe how you've handled a difficult customer or patient situation when you needed to uphold a policy.

3. What appeals to you about helping build a growing practice rather than working in a larger, more established organization?
