WHO WE ARE

Zero Impact Energy is an end-to-end renewable energy provider. Together with our affiliated companies we design, finance, build and maintain EV charging, fleet electrification, solar microgrid, battery energy storage and hydroponic systems for commercial and enterprise clients – and we handle every step in-house: sales, provisioning, design and engineering, contracting and construction, servicing and maintenance. We are a licensed C-10 contractor with construction crews across California, and our projects are backed by state and utility incentive programs (such as CALeVIP, utility make-ready programs and LCFS credits) that provide a steady, reliable flow of revenue.

We are growing fast and we run lean. If you like keeping a busy office and its technology running smoothly – and you want to be the person everyone can count on – we want to speak with you.

THE ROLE

The Office & Operations Administrator keeps our Costa Mesa office and our people's tools running: workstations, accounts and software; the building and its vendors; supplies, shipping and PPE; and the inventory of everything the company owns. This is a hands-on role with a real IT component – you will be the first call when a laptop won't boot, a new hire needs accounts, or the Wi-Fi drops – and an operations role where you own vendors, purchasing and the systems that keep the office organized.

How your time is spent: IT Support & Systems (35%)  ·  Facilities & Vendors (20%)  ·  Office Administration, Purchasing & Shipping (30%)  ·  Asset Management & Onboarding (15%)

WHAT YOU'LL DO

IT support & systems  (35%)

  • Set up, configure and troubleshoot laptops, workstations, monitors, printers, conference-room equipment and other office technology.
  • Troubleshoot computer, internet, Wi-Fi, network and software issues; coordinate with our internet, network and software vendors when a problem needs escalation.
  • Administer user accounts and access in Google Workspace (Gmail, Drive, groups, shared drives), Slack, Microsoft 365 and Adobe – create, change and deactivate accounts; manage licenses and seats.
  • Maintain basic security hygiene: 2-step verification / MFA, password manager, device passcodes and screen locks, standard software builds for new machines.
  • Track software licenses and subscriptions (seats, renewals, cost); flag unused seats and upcoming renewals before they bill.
  •  Keep simple IT documentation current: setup checklists, account/access list, vendor and support contacts.

Facilities & vendors
  (20%)

  • Coordinate building maintenance, repairs and general office upkeep (HVAC, plumbing, electrical, janitorial, pest control, alarm and access).
  • Obtain and compare vendor quotes, recommend a selection, schedule the work and confirm it was completed.
  •  Maintain a vendor and contract register (internet, phones, copier/printer, alarm, janitorial, HVAC) with contacts, terms and renewal dates.
  • Serve as the point of contact for the property manager, service providers and deliveries.

Office administration, purchasing & shipping
  (30%)

  • Order office, breakroom and restroom supplies; keep the kitchen stocked with coffee, drinks, snacks and everyday essentials; monitor and replenish on a set schedule.
  • Manage small-parcel shipping, receiving and outgoing packages (UPS/FedEx/USPS accounts, labels, tracking, returns).
  • Coordinate and prepare new-hire PPE and field equipment for construction and field-service staff.
  •  Answer the front door, greet visitors, and direct guests, deliveries and vendors.
  • Help keep the office clean, organized, welcoming and functional.

Asset management & onboarding / offboarding
  (15%)

  • Maintain an accurate inventory of company assets (laptops, phones, monitors, tools, PPE, keys and badges) with serial numbers, condition and current assignment.
  • Run the new-hire setup checklist – workstation, accounts, phone, badge/keys and PPE ready on day one – and the exit checklist: accounts deactivated the day of separation and every assigned asset recovered.
  • Track equipment check-out and check-in, repairs and replacements; recommend replacements before equipment fails.
  • Other duties as assigned.

WHAT SUCCESS LOOKS LIKE

Targets below are proposed – confirm or adjust before posting.

  • 30 days: Complete asset inventory with serials and assignments; every current employee has the correct access in Google Workspace, Slack, Microsoft 365 and Adobe.
  • 90 days: New-hire and exit checklists in use; vendor and contract register built with renewal dates; supply ordering running on a set cadence.
  • 180 days: Software license audit complete and unused seats cut; IT setup documentation current; recurring office vendors reviewed and competitively quoted.
  • Ongoing: Workstation and account requests resolved the same day; no departed employee retains active access to any system.

WHAT YOU BRING
  • Experience: 2+ years in office administration, IT support / help desk, office coordination or a similar role – ideally a mix of the two.
  • IT: Hands-on experience setting up computers, workstations, monitors, printers and peripherals; comfortable troubleshooting hardware, software, internet and network issues; has administered user accounts in Google Workspace and/or Microsoft 365.
  • Organization: Manages multiple day-to-day responsibilities, keeps inventories and trackers accurate, and follows through on vendors and orders without reminders.
  • Vendors & purchasing: Comfortable requesting and comparing quotes, placing orders, and holding vendors to schedule and budget.
  • Communication: Friendly, professional and clear with employees, visitors, vendors and field crews.
  •  Mindset: Dependable, proactive and willing to jump in where needed; handles interruptions and short-notice problems calmly.

Nice to have

  • Google Workspace Administrator certification; Google IT Support Professional Certificate or CompTIA A+.
  • Experience with an asset-tracking or ticketing tool (e.g., Snipe-IT, Asset Panda, Freshservice, Jira Service Management).
  • Experience with shipping platforms and vendor portals (UPS/FedEx, Amazon Business, Uline).
  • Daily use of AI tools (ChatGPT, Claude, Gemini, Microsoft Copilot) to draft, summarize and work faster.
  • Experience in construction, EV charging, solar or another business with field crews.
  • Valid California driver's license and clean driving record for occasional supply and PPE runs (mileage reimbursed).

REQUIREMENTS
  • Ability to work onsite at our Costa Mesa office, Monday through Friday. No hybrid or remote work.
  • Ability to lift and move up to 50 lb (packages, monitors, PPE cases) and to use a step stool or ladder for stocking and workstation setup.

  • Reach with hands and arms, bend, kneel, and use a step stool or ladder; use hands and fingers to handle tools, cables and small components.
  • Lift and carry up to 50 lb occasionally.
  • Use standard office equipment such as computers, smartphones, printers and copiers.
  • Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of the role.
