From there you record data into the Paul Davis proprietary software, accept new assignments, create job folders, maintain job boards, monitor documents sent to customers, make customer appointments and share in a variety of tasks to assist the daily operational needs of the mitigation and restoration departments.
Job Duties:
- Answer Phones
- Data entry for all jobs
- Maintain magnetic boards for all departments
- Request new assignments when necessary
- Update milestones for all TPA sites
- Send contracts, etc. via DocuSign and monitor when complete
- Monitor email alerts
- Have computer skills in Microsoft Office, including Outlook, Word and Excel
- Be able to learn new online computer programs
- Provide assistance to the Mitigation Manager, Project Manager and Owner
- Oversee weekly status meetings and update database
- Have experience using multi-line phone systems
- Have a clear, pleasant speaking voice and excellent verbal and written communication skills
- Be bilingual (Spanish) preferred
- Demonstrate patience and compassion with customers
- Be enthusiastic and service oriented
- Be organized, efficient and detail oriented
- Be able to multi-task
- Be able to work M-F from 8am-5pm; be on call 1-2 weeks per month
- Have a good record of timeliness and attendance
- Wear company logo wear daily (black and khaki)
