HVAC Dispatcher/Office Administrator - Part Time
Salary Range
22k-27k
General Accountabilities
• Answer incoming calls and respond to customer inquiries
• Schedule service and installation appointments using dispatch software
• Coordinate with field technicians to optimize daily routes and job assignments
• Enter customer and job information into CRM or management system
• Create and send invoices; collect and record payments
• Track permits, warranties, and follow-up appointments
• Assist owner with administrative duties as needed
Job Qualifications
Strong phone and customer service skills
Comfortable using scheduling or CRM software (Service Fusion, Housecall Pro, etc.)
Basic proficiency in Microsoft Office (Word,Excel)
Highly organized and detail-oriented
Able to multitask in a fast-pace environment
Prior experience in HVAC, plumbing, electrical, or service industry (preferred)
Skills
HVAC Industry basic knowledge (preferred)Proficiency with handling scheduling conflicts, customer complaints, & rescheduling with professionalism, Proficiency with Microsoft & Microsoft Office applications, Typing speed 35-50+ WPM - Helpful for quick data entry, Active listening & ability to de-escalate issues calmly, Ability to communicate job details to technicians & customers, Clear & professional phone etiquette1+ year office or dispatcher experience (preferred)Friendly & reliable- you're the voice of our company!, Good with computers & multitasking
