The ideal candidate will have a strong background in human resources, be skilled in managing and organizing client records, and must possess a valid driver’s license with reliable transportation. We are seeking a highly organized and detail-oriented Administrative Assistant with experience in home healthcare to join our team in Virginia. The ideal candidate will have a strong background in human resources, be skilled in managing and organizing client records, and must possess a valid driver’s license with reliable transportation. This role is essential in supporting day-to-day administrative operations, ensuring compliance, and contributing to a smooth and professional client and employee experience.
Key Responsibilities:
- Provide general administrative support to the office and field staff.
- Maintain accurate and up-to-date client records, documentation, and care plans.
- Support HR functions including onboarding, tracking credentials, employee file management, and assisting with recruitment coordination.
- Ensure compliance with Virginia state regulations and healthcare documentation standards.
- Manage scheduling, appointment reminders, and coordination between caregivers and clients.
- Handle incoming calls, emails, and other correspondence professionally and promptly.
- Assist with billing, payroll preparation, and timekeeping as needed.
- Drive locally for errands, client-related visits, or supporting mobile administrative tasks when required.
- Uphold client confidentiality and HIPAA compliance at all times.
Qualifications:
- Proven experience in an administrative support role, preferably in a home healthcare setting.
- Knowledge of Virginia home healthcare regulations and HR best practices.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and client record management systems.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Valid driver’s license and reliable transportation required.
- High school diploma or equivalent; Associate's or Bachelor's degree in Business Administration, Healthcare Administration, or related field preferred.
