About Us:
We are a well-established, medium-sized Personal Injury law firm dedicated to providing exceptional legal services to our clients. As we continue to grow, we are seeking an experienced Office Manager to join our team and help manage the day-to-day operations of our office. The ideal candidate will have 3-5 years of management experience, preferably in a legal environment, and will be ready to take on a pivotal role in supporting our team and ensuring our operations run smoothly.

Key Responsibilities:

  • Oversee daily office operations, ensuring efficiency and organization across all departments.

  • Manage office staff, including paralegals, legal assistants, and administrative personnel, providing guidance and support as needed.

  • Implement and manage office policies, procedures, and best practices, ensuring compliance with legal standards and internal guidelines.

  • Monitor office supplies and equipment, ensuring availability and managing ordering as needed.

  • Serve as the primary point of contact for vendors, clients, and external partners.

  • Ensure office compliance with all relevant legal, regulatory, and administrative standards, including HIPAA and other confidentiality regulations.

  • Support HR-related functions, such as recruiting, onboarding, and employee relations for office staff.

  • Coordinate with senior partners and leadership to implement new initiatives or changes to firm policies.

  • Handle any other administrative tasks or projects as required.

Qualifications:

  • Experience: 3-5 years of experience in office management, with a preference for candidates who have worked in a legal or professional services environment.

  • Education: A bachelor's degree in Business Administration, Management, or a related field is preferred, though equivalent experience will be considered.

  • Skills:

    • Strong organizational and multitasking skills.

    • Excellent communication and interpersonal abilities, both written and verbal.

    • Ability to manage teams and work collaboratively in a fast-paced environment.

    • Proficiency in office software (MS Office Suite) and legal case management software (e.g., Clio, ProLaw, etc.) is a plus.

    • Knowledge of legal terminology, office procedures, and compliance requirements in a law office setting.

    • Strong problem-solving skills and the ability to work independently with minimal supervision.

  • Preferred: Experience in managing budgets, office supplies, and facilities management.

  • Key Attributes: Strong leadership, attention to detail, proactive attitude, and the ability to adapt to changing priorities.

Compensation: $55,000.00 - $70,000.00 per year
