A Day in This Role
Think of this office like a doctor's practice — the advisor is the doctor, and this role is everything else that makes the practice run. When it works, the advisor walks in, sees clients back-to-back, delivers advice, and ends the day knowing everything was handled...when it doesn't, nothing works.

On any given day: outbound calls in the morning, confirming tomorrow's schedule by midday, chasing down a missing document in the afternoon, updating the CRM before the day ends — all while fielding calls from clients who need help with a form or have a quick question. No two days are identical, but the goal never changes: keep the advisor productive and clients taken care of.
What You'll Do
- Own the advisor's calendar — keeping it full, organized, and running smoothly
- Reach out to referrals and leads to schedule initial appointments
- Call existing clients to schedule annual reviews and follow-up meetings
- Confirm appointments and ensure clients know the time, location, and what to bring
- Follow up on time-sensitive action items: underwriting requirements, transfer paperwork, outstanding documents, and open case next steps
- Provide customer service to existing clients — forms, contact updates, and general support
- Track appointments, leads, and case statuses in CRM and scheduling systems
- Support Spanish-speaking clients in their preferred language
- Handle confidential client information with professionalism and discretion
What We're Looking For
- Fully bilingual in English and Spanish — required
- Strong phone presence — you're comfortable calling people you've never met
- Organized, detail-oriented, and proactive — you notice what needs doing before being asked
- Professional and warm — clients should feel genuinely taken care of
- Able to juggle multiple open tasks without losing anything
- Tech savvy - you'll be handling multiple systems at once
- Experience in insurance, financial services, or scheduling is a plus — but attitude and work ethic matter more
- These licenses aren't required, but would be a real advantage: Texas Life & Health insurance License, FINRA Series 6/63
Compensation & Schedule
- 30–35 hours per week, with more hours as the practice grows
- $15–$20 per hour, based on experience
- Quarterly performance bonuses
- Currently work-from-home; will transition to in-office as the practice grows
- If licensed - additional income opportunities are available.
