About the Role
We are seeking a Practice Manager to lead day to day operations for a boutique wellness and aesthetics clinic offering hormone optimization, medical weight loss, and aesthetic services. This role is accountable for building a consistent, elevated patient experience while ensuring operational excellence, regulatory compliance, and strong financial performance.

The Practice Manager partners closely with clinic leadership and providers to translate strategy into execution. You will lead the front office and clinical support functions, optimize workflows, monitor performance metrics, and drive continuous improvement across the patient journey.
Key Outcomes for Success
Deliver a smooth, high touch patient experience from first contact through ongoing care. Maintain strong operational controls across scheduling, staffing, inventory, and facility readiness. Protect revenue performance by managing front end collections, documentation readiness, and billing coordination.

Ensure compliance with clinic policies and applicable healthcare and privacy requirements. Build and retain a reliable team through coaching, training, and clear accountability.
Primary Responsibilities
• Lead daily clinic operations including opening and closing procedures, staff coverage, patient flow, and service readiness.
• Manage scheduling strategy to maximize provider utilization, reduce bottlenecks, and improve patient access.
• Oversee patient experience standards including phone etiquette, consult readiness, service scripting, and follow up protocols.
• Supervise and develop staff, including hiring support, onboarding, training plans, performance feedback, and corrective action when needed.
• Maintain revenue cycle discipline by monitoring collections, refunds, membership or package tracking, and coordination with billing support as applicable.
• Own inventory and vendor management for medical supplies, retail, consumables, and device related needs, including counts, ordering, and shrink control.
• Track and report key metrics such as visits, conversion rates, rebooking, no shows, revenue by service line, and patient satisfaction.
• Create and improve standard operating procedures to reduce errors, increase consistency, and support growth.
• Coordinate facility standards including cleanliness, room setup, equipment checks, and safety readiness.
• Support marketing and growth efforts by ensuring a strong consult process, referral capture, review requests, and service education consistency.
• Maintain confidentiality and ensure alignment with privacy expectations for all patient information and internal clinic matters.

• 3 plus years of experience in medical practice management, med spa management, or clinic operations leadership.
• Demonstrated success leading teams and improving performance through clear processes and accountability.
• Strong working knowledge of scheduling workflows, patient flow, and customer service standards in a clinical setting.
• Comfort with operational metrics, reporting, and basic financial oversight such as budgets, purchasing, and collections.
• Proficiency with electronic health records, scheduling software, and modern business tools such as spreadsheets and shared documents.
• Excellent communication skills with the ability to lead calmly, set expectations, and resolve issues professionally.

Work Schedule and Environment
This role is primarily on site and requires a visible presence on the clinic floor. Some schedule flexibility is expected to support provider schedules, special events, and coverage needs.

Compensation and Benefits
Compensation is competitive and based on experience. Benefits may include paid time off, holidays, employee pricing on services, and performance based incentives depending on clinic structure and eligibility.

Compensation: $70,000.00 - $90,000.00 per year
