Position Summary
We are seeking a Front Desk Receptionist who is organized, reliable, and comfortable working in a fast‑paced behavioral health environment. This role blends patient‑facing reception duties with administrative and secretarial responsibilities that support clinical and operational workflows.
The ideal candidate is calm, professional, detail‑oriented, and able to maintain boundaries while providing excellent customer service.
Key Responsibilities
Front Desk & Patient Support
- Greet patients warmly and check them in/out using the EHR
- Answer multi‑line phones, route calls, and take accurate messages
- Schedule, reschedule, and confirm appointments
- Verify insurance and collect copays when applicable
- Manage in-person and telehealth waiting rooms’ flow and communicate with clinicians about arrivals
- Submit and track lab requests
Administrative & Secretarial Duties
- Prepare, scan, and upload documents into the EHR
- Maintain organized digital and paper filing systems
- Track and update patient demographics and insurance information
- Handle incoming/outgoing mail and faxes
- Maintain front desk supplies and office inventory
- Maintain accurate client documentation in compliance with regulatory guidelines
- Record and distribute minutes for staff meetings and other organizational meetings as needed
- Manage and maintain calendars for clinical compliance activities, deadlines and events
- Maintain professional written and verbal correspondence on behalf of Clinical Directors with internal and external stakeholders.
Compliance & Confidentiality
- Uphold HIPAA and 42 CFR Part 2 confidentiality standards
- Follow clinic policies for PHI handling, documentation, and communication
- Ensure secure and professional management of sensitive information
Qualifications
Required
- 1+ year experience in a medical, behavioral health, or high‑volume office setting
- Familiarity with insurance verification
- Experience with scheduling software or medical EHRs
- Strong communication and customer service skills
- Ability to remain calm and professional with distressed or dysregulated patients
- Proficiency with computers and EHR systems
- Excellent organization, attention to detail, and multitasking ability
- Reliability, punctuality, and strong work ethic
Preferred
- Experience in outpatient behavioral health
- Bilingual (Spanish/Russian) is a plus
Compensation: $35,000.00 - $40,000.00 per year
