Member Services Coordinator - 40 hours/week

General Overview

The Member Services Coordinator plays a key role in delivering a consistent, professional, and high-quality customer experience. This position is responsible for front desk operations, customer communication, scheduling support, and membership follow-up.
This is not simply a front desk position. This role requires attention to detail, strong communication skills, and the ability to operate with urgency and professionalism in a fast-paced environment. The Member Services Coordinator helps ensure daily operations run smoothly while supporting both customers and staff.
Essential Duties & Responsibilities
Customer Experience
- Provide a welcoming, professional, and energetic first impression to all players, families, and guests
- Deliver consistent, high-quality customer service across all interactions (in-person, phone, and email)
- Answer questions and assist families with programs, memberships, and scheduling
- Escalate complex concerns to management when appropriate
- Maintain clear, professional communication aligned with D-BAT Virginia Beach standards
Membership & Account Support
- Assist with membership inquiries, account updates, and general questions
- Support membership follow-ups, including outreach to leads and existing members
- Help monitor declined payments and notify customers as directed
- Accurately document customer interactions and account notes
- Maintain professionalism and composure in all customer interactions
Scheduling & Administrative Support
- Assist with scheduling lessons, rentals, camps, and clinics
- Ensure bookings are accurate and properly entered into the system
- Communicate schedule updates clearly to customers and staff
- Maintain organized and detailed customer records
Front Desk & Daily Operations
- Manage front desk responsibilities including check-ins, payments, and phone coverage
- Process transactions accurately and efficiently
- Maintain a clean, organized, and professional front desk and retail area
- Support daily operational tasks including printing materials and administrative support
- Assist with basic event setup and breakdown as needed
Performance Expectations
The Member Services Coordinator is expected to:
- Maintain a high level of professionalism and responsiveness
- Ensure accuracy in scheduling and customer information
- Support timely communication with customers and team members
- Contribute to a positive, structured, and team-oriented environment
- Operate with urgency, reliability, and attention to detail
Schedule
- Monday–Friday: 10:30 AM – 6:30 PM
- Occasional flexibility may be required for events or peak periods
Qualifications
- Strong communication skills with a professional and confident presence
- Customer service experience preferred
- Organized and detail-oriented with the ability to multitask
- Comfortable working in a fast-paced, high-energy environment
- Reliable, punctual, and professional in appearance and conduct
- Positive attitude with a willingness to learn and take direction
- Interest in baseball, softball, or sports is a plus
- Availability to work afternoons, evenings, weekends, and holidays as needed
- Ability to stand and move throughout the facility for extended periods
