The Community Engagement Ministry Associate (CEMA) supports the Pastor of Community Engagement by coordinating the people, projects, events, communication, and systems that help the Community Engagement ministry run effectively. This part-time role focuses on organization, execution, and follow-through, ensuring ministry ideas and initiatives move from planning to completion with excellence. Additionally, this position is responsible for overseeing the onsite needs of the Mercy Ministry Center.

RESPONSIBILITIES
  1. Ministry Coordination & Follow-Through – Support the day-to-day execution of Community Engagement by turning meetings, ideas, and ministry initiatives into clear next steps and keeping projects moving toward completion.
    1. Maintain project plans, timelines, calendars, task lists, and deadlines.
    2. Track assignments and follow up with staff, volunteers, and ministry partners.
    3. Identify upcoming needs, deadlines, and outstanding action items before they become urgent.
    4. Provide regular updates to the Pastor of Community Engagement and help develop repeatable processes for recurring ministry activities.
    5. Help lead the support team that helps with administrative tasks for community engagement.
  2. Community Partner Support and Coordination – Help maintain strong and organized relationships with Community Engagement ministry partners by coordinating communication, meetings, requests, and follow-up.
    1. Maintain accurate partner records, contacts, requests, and commitments.
    2. Help with coordinating meetings, site visits, serving opportunities, and other partnership logistics.
    3. Send routine follow-up communication and track outstanding decisions or responsibilities.
    4. Capture meeting notes, next steps, and ensure partners experience Mercy Church as responsive, dependable, and organized.
  3. Volunteer Coordination Support –  Support the recruitment, communication, preparation, and organization of Community Engagement volunteers so they are equipped to serve with clarity and confidence.
    1. Create and maintain volunteer opportunities, registrations, rosters, and role information through POINT.
    2. Send confirmations, reminders, instructions, and other volunteer communication through POINT
    3. Track background checks, waivers, training requirements, and other necessary volunteer steps through Church Community Builder. 
    4. Support volunteer leaders with resources and help identify consistent volunteers who may be ready for more leadership
  4. Event & Project Support – Provide logistical and administrative support for Community Engagement events and serving opportunities, helping ensure each initiative is well planned, communicated, and executed.
    1. Develop event timelines, checklists, volunteer assignments, and registration plans.
    2. Coordinate supplies, food, facilities, room arrangements, signage, and printed materials.
    3. Communicate with volunteers, ministry partners, and other stakeholders leading up to the event.
    4. Support event setup, execution, and post-event follow-up.

JOB REQUIREMENTS

Physical Requirements
  1. Ability to frequently stand, sit, and/or walk
  2. Ability to occasionally bend, squat, kneel, climb stairs, and/or lift
  3. Ability to occasionally lift between 10-50 lbs
  4. Ability to continuously communicate with other people
  5. Ability to continuously operate a computer in order to complete necessary office work
  6. Ability to continuously comprehend both physical and digital documents
  7. Ability to continuously prepare/create both physical and digital documents

Work Environment
  1. May occasionally work in temperatures above 95 degrees and below 32 degrees
  2. May occasionally walk on slippery, wet, or uneven surfaces
  3. Noise level in the environment will occasionally be loud
  4. May occasionally work outdoors
  5. May occasionally be required to travel for work
  6. May continuously work indoors in an office space
  7. May continuously work in a shared office space with coworkers

Office Hours and Work Schedule
  1. Work Hours: This is a part-time role but must be available Monday and Wednesday Mornings and flexible for evening or weekend serve events.  
  2. Officeing at the Mercy Ministry Center: Maintain consistent weekly office hours at the Mercy Ministry Center for calls, vendor appointments, mail, and other on-site needs. Specific days and times are negotiable.
  3. Additional Hours: This person will be expected to be at key events/meetings outside of the above office hours. Please see supervisor for details.
  4. Overtime and extra work days: Some overtime will be required. Please consult the Mercy Staff Handbook for the Overtime Policy
